Overview

Located in our Vancouver office and reporting to the Director of Operations, this role includes daily administrative support in a fast-paced environment. As a Senior Operations Coordinator, you will provide exceptional support to the office requiring the ability to plan, prioritize and organize responsibilities to meet multiple deadlines.

 

The ideal candidate will have a minimum of three years’ experience in administration and a diploma/degree relevant to business administration / management.

 

The base salary is aligned with market data and is estimated between $55,000 to $70,000 with the ability to achieve additional compensation through a bonus. Within this range, individual pay is determined by work location and other factors, including relevant education/training, experience, and internal equity.

Responsibilities

The key responsibilities of a Senior Operations Coordinator include, but are not limited to, the following:

  • Manage the common area to ensure effective telephone and mail communications both internally and externally to maintain professional image
  • Ensure compliance with office / agent licenses and insurance
  • Be responsible for the facilities day-to-day operations (such as distributing building access keys and back-up to security access cards, etc.)
  • Train new hires on office procedures, policies, and general apps
  • Onboarding/offboarding of employees
  • Act as office IT liaison
  • Supervise the maintenance and alteration of office areas, equipment, and common areas, as well as layout, arrangement, and housekeeping of office facilities
  • Purchase office supplies for the entire staff in accordance with company purchasing policies and budgetary restrictions
  • Recognize opportunities for office efficiencies, assist leadership to develop and implement best practices
  • Support the team in utilizing Outlook (i.e., scheduling company meetings, conference room meetings, etc.)
  • Perform clerical duties to include photocopying, filing, mailing documents, binding presentations, accounts payable and expenses
  • Develop and maintain internal and external communications and contact data; regular input of information into the company’s CRM database and/or other systems or files
  • Be prompt and consistent with attendance as required by the job
  • Assist in planning company events
  • Be responsible for other duties and special projects as assigned
  • Uphold a strict level of confidentiality
  • Coordinate overall administrative activities
  • Assist other teams, disciplines, or business units, when required
  • Handle such other reasonable duties as the Company may require of you from time to time

Qualifications

Basic Required Qualifications 

 

To perform this job successfully, an individual must be able to perform each essential task at an above average level. The requirements listed below are representative of the knowledge, skill and/or ability required.

  • Minimum of three years’ experience in administration and diploma/degree relevant to business administration / management
  • Experience in office management an asset
  • Real estate experience an asset
  • Advanced knowledge and efficient use of business suite computer programs including Word, Excel, PowerPoint, Outlook
  • Excellent and effective verbal and written communication skills
  • Ability to multi-task, utilize effective time management skills, and be able to recognize and respond to time sensitive issues and tasks
  • Ability to work efficiently under pressure with multiple timelines and with limited direction/ supervision
  • Ability to maintain discretion regarding personnel and industry-related matters
  • Well organized and demonstrate initiative
